2. What Data We Collect
2.1 Information You Provide Directly
When you use the platform, you may provide us with:

- business information, if you create or manage a listing, including business name, address, description, and category;
- content you upload, such as photographs, logos, and written descriptions;
- payment information, where you subscribe to a paid listing - this is processed securely by our PCI-compliant payment provider and we do not store your full card details; and
- communications you send to us, including enquiries and support requests.
2.2 Information Collected Automatically
When you visit the platform, we may automatically collect:
- your IP address;
- device type, operating system, and browser;
- pages visited, search terms entered, and actions taken on the platform;
- referring URLs; and
- cookies and similar tracking technologies (see section 9).
2.3 Information from Third Parties
We may receive information about you from third parties, including:
- PCI-compliant payment processors, to confirm and manage transactions;
- analytics providers, to help us understand how the platform is used; and
- marketing platforms, where you have engaged with our content on external channels.
We do not purchase personal data from third-party data brokers.
3. How We Use Your Data
3.1 To Provide and Operate the Platform
We use your data to create and manage your account, display business listings, and enable users to search and connect with businesses.

3.2 To Publish Business Listings
Where you create a business listing, we publish the information you provide so that it is discoverable by users of the platform. This is the core purpose of the service.
Lawful basis: Performance of a contract (where you are a paying subscriber); legitimate interests (where listings are provided without charge). We have assessed that our legitimate interest in operating a publicly accessible business directory does not outweigh the rights of listing owners, particularly as listing owners choose to submit their information for publication and may request its removal at any time.
3.3 To Manage Subscriptions and Payments
Where you purchase a paid listing, we use your data to process transactions, manage billing, and issue invoices or receipts.

3.4 To Improve the Platform
We analyse how users interact with the platform to improve features, usability, and performance. Where possible, this analysis uses anonymised or aggregated data.
Lawful basis: Legitimate interests. We have assessed that our interest in improving the platform is proportionate and does not outweigh your privacy rights, particularly as we minimise and anonymise data wherever possible.
3.5 To Communicate With You
We use your contact details to respond to enquiries and to send service-related notifications, such as account updates, subscription notices, and changes to our terms or policies.

3.6 For Marketing (Where Permitted)
We may send you updates, offers, and platform news where you have given your explicit consent, or where we are otherwise permitted to do so under the Privacy and Electronic Communications Regulations (PECR). The platform may use automated processes to generate search results, rankings, and suggestions, including algorithmic or AI-assisted tools. These features use data such as category, location, and search behaviour to present relevant results.
Where such tools produce outputs that may significantly affect how a business is presented or discovered, we aim to maintain appropriate oversight of those processes. These outputs are provided for convenience only and do not constitute a recommendation, endorsement, or guarantee by Biz Nation.
Lawful basis: Legitimate interests. We have assessed that our interest in improving user experience through relevant results is proportionate and does not outweigh your privacy rights, particularly given the safeguards in place.
4. Profiling and Automated Decision-Making
We may use data about how you interact with the platform to present more relevant search results and listings. This may constitute profiling under UK GDPR. We do not make decisions that produce legal or similarly significant effects on you based solely on automated processing, without the possibility of human review.

5. How Long We Keep Your Data
We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected. Our standard retention periods are as follows:
- Account data: retained while your account is active and for up to two years following account closure, after which it is deleted or fully anonymised.
- Business listing data: retained for the duration of your subscription and for up to two years afterwards, unless you request earlier deletion.
- Transaction and financial data: retained for up to six years from the date of the transaction, in accordance with HMRC requirements.
- Marketing data: retained until you withdraw consent or unsubscribe, after which we suppress your details to ensure we do not contact you again in error.
- Technical and usage data: retained for up to 12 months in identifiable form, after which it is anonymised for analytical purposes.
- Communications and support records: retained for up to two years from the date of the last interaction.
We may retain data for longer periods where required by law, where necessary to resolve a dispute, or where you have given consent for a specific purpose.
6. Sharing Your Data
We do not sell your personal data. We may share it in the following circumstances:
6.1 Service Providers
We work with trusted third-party providers who process data on our behalf, including:
- PCI-compliant payment processors, to handle subscription transactions securely;
- web hosting and infrastructure providers, to operate the platform;
- analytics providers, to help us understand platform usage;
- email and marketing platforms, to manage communications; and
- customer support tools, where applicable.
All service providers are contractually required to process data only on our instructions and in accordance with applicable data protection law.
6.2 Publicly Visible Listing Information
If you create a business listing, the information you choose to include will be visible to the public. Please only include information you are comfortable sharing publicly. You may request removal of your listing at any time by contacting us at hello@biznation.co.uk.
6.3 Independent Businesses on the Platform
When you contact or engage with a business found through Biz Nation, any personal data you share directly with that business is received and controlled by that business, not by Biz Nation. We have no visibility into, and accept no responsibility for, how individual businesses collect, use, store, or process personal data you provide to them directly. Each listed business is an independent data controller in respect of any data you share with them. We strongly recommend that you review the privacy policy of any business before sharing your personal information with them.
6.4 Legal and Regulatory Authorities
We may disclose your data to law enforcement, regulatory bodies, or courts where required by law, or where we reasonably believe disclosure is necessary to protect our rights, your safety, or the safety of others.
6.5 Business Transfers
If Biz Nation or Born Bilingual Ltd is involved in a merger, acquisition, or sale of assets, your personal data may be transferred as part of that transaction. We will notify you in advance where reasonably practicable.
7. International Data Transfers
Some of our service providers may process data outside the United Kingdom. Where this occurs, we ensure that appropriate safeguards are in place, such as:
- transfers to countries with a UK adequacy decision; or
- standard contractual clauses approved by the ICO.

Under the UK GDPR, you have the following rights. We will respond to all requests within one month of receipt. In complex cases, we may extend this period by a further two months, in which case we will notify you.

- Right to rectification: to ask us to correct inaccurate or incomplete data without undue delay.
- Right to erasure: to request deletion of your personal data where it is no longer necessary, where you withdraw consent, or where processing is unlawful.

- Right to data portability: to receive a copy of your data in a structured, machine-readable format.
- Right to object: to object to processing based on legitimate interests or for direct marketing. We will cease processing unless we can demonstrate compelling legitimate grounds.

Biz Nation is a business-to-business and business-to-consumer platform intended for adults. We do not knowingly collect personal data from children under the age of 13. If you believe we have inadvertently collected data from a child under 13, please contact us immediately at hello@biznation.co.uk and we will delete it without delay.
Users aged 13 to 17 should review this policy with a parent or guardian before using the platform.
11. Security
We take appropriate technical and organisational measures to protect your personal data, including:
- encryption of data in transit using TLS (Transport Layer Security);
- access controls restricting data to authorised personnel only;
- regular review of our security practices and systems; and
- data minimisation, collecting and retaining only what is necessary.
In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours of becoming aware of it, as required by UK GDPR. Where a breach is likely to result in a high risk to you personally, we will notify you directly without undue delay.
No method of transmission over the internet or electronic storage is completely secure. Whilst we take our obligations seriously, we cannot guarantee absolute security and you use the platform at your own risk.
